How Much Does School ERP Software Cost in India?
Most cloud school ERPs in India charge per student per month. Published market rates range widely, from under ₹10 to well over ₹50 per student per month, depending on modules, school size and whether mobile apps, training and support are included. On top of the subscription, budget for messaging (SMS and WhatsApp), payment gateway charges, add-on modules, setup and migration, and GST. Compare quotes as a five-year total for your actual student strength.
How school software is priced
There are three common models in India:
| Model | How it works | Watch out for |
|---|---|---|
| Per student per month (SaaS) | You pay for active students, billed monthly, termly or yearly | What counts as an active student, and the annual increase |
| Flat annual licence | A fixed yearly fee, sometimes by size band | Caps on students, users or modules |
| One-time purchase plus AMC | A large upfront fee, then an annual maintenance contract | Hosting, upgrades and hardware are usually extra |
Per-student SaaS pricing has become the norm because it scales with the school and includes hosting, updates and backups. Many vendors reduce the rate for larger schools, often by size band.
What schools typically pay
Rates vary too much between vendors and modules to give a single number. Publicly quoted rates in the Indian market run from under ₹10 per student per month for basic systems to ₹50 or more for systems that include mobile apps, finance and payroll, learning tools and AI. For a school of 800 students, that is a range of roughly ₹1 lakh to ₹5 lakh a year before add-ons.
Two schools of the same size can rightly pay very different amounts. The questions that move the price most are:
- Do you need finance, accounting and payroll, or only academics and fees?
- Do you need transport, hostel, library or inventory modules?
- Is an LMS or AI included or extra?
- Are parent and teacher mobile apps included?
- Is it one campus or a group?
The costs that are not in the per-student price
- Messaging. SMS and WhatsApp reminders are charged per message by the provider. A school sending fee reminders and absence alerts to every parent can send thousands a month.
- Payment gateway charges. Card and net banking payments carry a gateway fee. Check who pays it: the school, or the parent as a convenience fee.
- Add-on modules. Transport, hostel and multi-branch are often priced separately.
- Setup and migration. Some vendors include configuration and data migration; others charge for it, especially for old marks and fee history.
- Training. Included sessions versus paid on-site training.
- Hardware. Biometric devices, ID card printers or GPS units for buses.
- GST. Software subscriptions attract GST at the prevailing rate.
- Annual increases. With a 10% yearly increase, the rate in year five is 46% higher than in year one.
Compare five-year totals
A worked comparison for a 900-student school:
| Vendor A | Vendor B | |
|---|---|---|
| Rate | ₹20 per student per month | ₹30 per student per month |
| Yearly increase | 10% | Fixed for 3 years, then 5% |
| Included | Core ERP only | Core ERP, finance, payroll, parent app |
| Add-ons needed | Payroll, parent app: ₹1.5 lakh a year | None |
| Five-year total (before GST and messaging) | About ₹20.7 lakh | About ₹16.7 lakh |
The cheaper rate is not the cheaper system once add-ons and increases are included.
Measure the saving, not just the price
The fair comparison is against what you spend today: separate fee and payroll tools, the hours spent copying marks into report cards, staff time chasing defaulters, and the fees that are never collected. A system that recovers even a small share of outstanding fees usually pays for itself. EduVizio's ROI calculator estimates this with figures you can edit.
How EduVizio prices
EduVizio charges per student per month on your active student strength, not on how many staff or parents log in. Your school-size band sets the rate for the whole roll, so larger schools pay less per student. Every plan is a complete core ERP; transport, hostel, book operations and multi-branch are add-ons, and the LMS is included on the Intelligence plan. Setup, configuration and training are done with your own data, and every school gets a one-month free trial. See plans, or book a demo for a quote for your school.
Frequently asked questions
Is there free school management software in India?
There are free and open-source options, but a school still pays for hosting, setup, support and customisation, usually through a partner. Compare the total cost of running it, not the licence price.
Why do school ERP vendors not publish prices?
Because the price depends on student strength, school-size band and the modules chosen. Ask for a written quote that lists every module, add-on, messaging cost and the annual increase.
Is GST charged on school software?
Yes. Software subscriptions are taxable supplies, and GST applies at the prevailing rate on top of the quoted price.
