UDISE+ Data Entry for Schools: A Practical Checklist
UDISE+ (Unified District Information System for Education Plus) is the Ministry of Education's national database of schools, which every recognised school in India updates each year: school profile, facilities, teachers and students. In recent rounds the portal opened in May and data entry was due by 30 September. Each student has a PEN (Permanent Education Number) in UDISE+, which follows them between schools and links to APAAR. The common problems are student details that do not match Aadhaar or school records, duplicate students, and teachers or students not moved when they leave.
Cycle dates, reference dates and data formats are announced each year by the Ministry of Education and your state. Follow your block or district MIS coordinator's instructions and the official portal at udiseplus.gov.in.
What UDISE+ is
UDISE+ is the national school information system run by the Ministry of Education. Every recognised school has an 11-digit UDISE code and updates its data every year. The data feeds national statistics, grants, Samagra Shiksha planning, and increasingly student-level systems such as APAAR and board registrations.

The annual cycle
In recent rounds:
- The portal opens for the new round around May.
- Schools update their profile, facilities, teachers and students.
- Student records are progressed: promoted students moved up, leavers marked as left, new admissions added.
- Block and district coordinators verify the data.
- Entry closes, with 30 September the deadline in both the 2025-26 and 2026-27 rounds.
Do not leave it to September. Student progression in particular takes time when classes are large.
PEN: the student's number in UDISE+
Each student in UDISE+ has a PEN (Permanent Education Number). It stays with the child when they change school, so the receiving school should pull the existing record rather than create a new one. PEN is also the link to APAAR, the lifelong academic ID; see our APAAR guide for schools. Write the PEN and APAAR ID on the transfer certificate so the next school can find the student.
Errors that cause problems
- Name or date of birth not matching Aadhaar or the admission register. Fix the source record with proof, then update UDISE+.
- Duplicate students, created when a new school adds a transferred child instead of importing their existing PEN.
- Leavers not marked as left, so the child cannot be added by their new school.
- Teachers who left still listed, or new teachers missing.
- Facilities reported inconsistently year to year, such as toilets or computers suddenly disappearing.
- Enrolment not matching the school's own registers and fee records.
Keep UDISE+ in step with your own records
UDISE+ is only as accurate as the school records it is copied from. If the admission register, the fee system, the attendance register and UDISE+ are four separate lists, they will disagree, usually on the children who joined or left mid-year. Practical steps:
- Keep one student master in the school, and update UDISE+ from it.
- Record PEN and APAAR ID on the student record at admission.
- When a student leaves, mark them as left in the school system and in UDISE+ the same week.
- Before the UDISE+ round, compare class-wise counts between your system and UDISE+.
- Keep the facilities data with evidence (photos, purchase records) so year-to-year changes are explainable.
