CBSE Mandatory Public Disclosure: What Schools Must Publish on Their Website
CBSE requires affiliated schools to publish a mandatory public disclosure on their own website, in the format CBSE prescribes (commonly called Appendix IX, generated through the SARAS affiliation portal). It covers the school's basic details, links to key documents such as the affiliation letter, trust or society registration, building safety, fire safety and water, health and sanitation certificates, along with results, fee structure, staff and infrastructure details. The hard part is not publishing it once but keeping certificates valid and the page current.
CBSE sets the format and updates it through circulars and the SARAS portal. Use the current format from cbse.gov.in and SARAS; this guide is an overview of what schools typically publish.
What the disclosure is
Every CBSE-affiliated school is required to publish key information about itself on its own website, in a format CBSE prescribes, so that parents and the board can see it. Schools usually generate the format through SARAS (School Affiliation Re-Engineered Automation System) and publish it as a page or PDF linked from the home page. CBSE can act against schools whose disclosures are missing, out of date or not genuine.
What it typically contains
General information
School name, affiliation number, school code, complete address, principal's name and qualification, school email and contact number.
Documents (each linked as a copy on the school website)
| Document | Notes |
|---|---|
| Affiliation, upgradation or extension letter | The current one |
| Trust, society or company registration | And any renewal |
| No objection certificate from the state | Where applicable |
| RTE recognition certificate | Where applicable, with renewal |
| Building safety certificate | As per the National Building Code |
| Fire safety certificate | From the competent authority, valid |
| Self-certification or DEO certificate | Submitted for affiliation or extension |
| Water, health and sanitation certificates | Valid |
Results and academics
Fee structure, annual academic calendar, school management committee and parent–teacher association members, and the last three years' board results.
Staff
Principal, numbers of teachers by category, teacher–section ratio, and details of the special educator and counsellor or wellness teacher.
Infrastructure
Campus area, classrooms, laboratories, internet facility and toilets for girls; some recent formats also ask for a link to a video of the school's infrastructure.
Where schools go wrong
- Expired certificates. Fire, building safety and sanitation certificates have validity periods. A disclosure linking to an expired certificate is worse than an honest gap, and an expired fire certificate is a real safety risk.
- Stale information. Last year's fee structure, a principal who has left, results not updated after the board declares them.
- Broken links. Documents moved when the website was redesigned.
- Unreadable scans. Blurry phone photos of certificates.
- Mismatched data. Staff numbers or enrolment that do not match UDISE+ or what was submitted to CBSE. See our UDISE+ checklist.
Keeping it current
- Keep a register of every certificate with its issue date, expiry date and who is responsible for renewal.
- Start renewals two to three months before expiry; fire and building inspections take time to schedule.
- Review the disclosure page each term, and immediately after board results, fee revisions or a change of principal.
- Check every link after any website change.
- Use clear, full-page scans and current versions only.
How EduVizio helps
EduVizio's compliance tracking keeps affiliations, inspections and expiring documents in one place, so a fire or building safety certificate nearing its expiry date is visible to the office before it lapses, and UDISE+ export keeps the numbers you report consistent with your records. Fee structures and the academic calendar are already set up in the system. See features.
